All room reservations will be considered tentative until confirmed by the building manager three days before your event.

Eligibility Criteria
All greater Baton Rouge area and surrounding non-profit organizations may request to use the Baton Rouge Area Foundation’s Conference Center. Groups must be registered as 501(c)(3) nonprofits to use the conference facilities.

Rooms for Use
The Conference Center consists of two rooms seating eight, one seating 25 and one seating up to 75. Please ask your guests to sign-in at the receptionist desk on the first floor.

Hours of Use
(Conference hours changed March 23, 2009.) The Conference Center is available for meetings Monday through Thursday between the hours of 8 a.m. and 5 p.m., and Fridays between the hours of 8:30 a.m. and 3:30 p.m.

Food and Beverages
Food and beverages are allowed in all conference rooms. Complimentary coffee, water and soft drinks are included with each room reservation.

Cost
There is no rental charge for the rooms or most amenities. There is, however, a charge for long distance services and connection charges related to teleconferencing features. Miscellaneous supplies may be coordinated through the Foundation for a nominal charge with advance notice. All catering costs, beyond the Foundation’s complimentary service, are the responsibility of the host organization.

Reservation Cancellation
All reservations must be confirmed no less than five days before the event. The Foundation reserves the right to cancel reservations at its discretion.

Ethical Standards
The Foundation presumes that all organizations hosting events at the Conference Center will uphold high ethical standards without regard to race, color, religion, sex, age, origin or handicap.

Guest Parking (Parking is not provided)
There is no parking lot associated with the Baton Rouge Area Foundation. There are some coin metered parking spaces around the building; and also a paid lot across the street from the Foundation (on 4th and Laurel) for $2.00 per hour or $5.00 per day. We do not validate parking stubs for any events.

Smoke-Free Building
The Baton Rouge Area Foundation building is a smoke-free environment. Event attendees desiring to smoke should be directed outside the first floor entrance to the corner of the building. Smoking is not allowed on the conference center balconies.

Host Responsibilities
As a host organization please inform your guests of the non-smoking policies and locations of the parking areas prior to your event. As a host organization, we expect that you will notify the Building Manager, Conference Center Associate or Receptionist if there spills of any kind in the Conference Center, restrooms that need attention, or anything else you see that needs our immediate attention. If these tasks are not taken care of, the Foundation does not guarantee that your reservation requests will be accepted in the future.

Contact the Conference Center to discuss your event and check room availability.

It is recommended that each host make an appointment to view the Conference Center, discuss usage policies and logistics to ensure that your meeting and the facility are a good match.
